Bookkeeping for bakeries and coffee shops
A small bakery or cafe has hundreds of small sales a day, card tips, ingredient deliveries and sometimes wholesale accounts that pay on terms. Mispar reconciles your POS to deposits, separates retail from wholesale, keeps ingredient costs and payroll organized, and prepares monthly books in your own QuickBooks Online or Xero file. Plans start at $229/mo.
Best for: Independent bakeries, coffee shops, cafes and specialty food shops with retail counters and, sometimes, wholesale or catering.

Tips
Where bakery and coffee shop books usually go wrong
- Daily sales entered as deposits, so card fees and refunds disappear.
- Ingredient waste not recorded, which hides real food cost.
- Wholesale orders and counter sales combined in one income line.
How Mispar keeps your shop books clean
Industry-specific accounts and categorization, with the reporting scope agreed before work starts.
POS sales and deposits
Match daily POS totals, card batches and cash deposits to the bank, with processor fees and sales tax broken out.
Wholesale and catering invoices
Track invoices to wholesale customers and caterers separately from counter sales, so late payments are visible on an open-invoice list.
Ingredient and packaging costs
Categorize flour, dairy, coffee, packaging and delivery costs, so changes in supplier prices can be spotted month to month.
Payroll and tips
Reconcile wages and charged tips to payroll reports, with employer costs and tip-outs kept consistent.
Equipment and buildout
Track ovens, espresso machines and buildout loans, with principal and interest separate from operating costs.
Delivery and online orders
Reconcile delivery and online-order payouts, with platform fees broken out rather than netted against deposits.
Reports a bakery or coffee shop can use
- Sales by category with food cost.
- Wholesale versus retail revenue.
- Waste as a share of purchases.
A simple, predictable process
From kickoff to your first clean close, here is exactly what happens.
Map your sales channels
Counter, online, delivery, wholesale and catering are each matched to a deposit source.
Set up the chart of accounts
Accounts are arranged so ingredients, packaging, labor and rent are easy to read.
Reconcile each month
POS, payouts, bills and payroll are reconciled to the bank and card statements.
Deliver monthly statements
Monthly statements arrive ready for your CPA, with an open-invoice list for wholesale.
Illustrative example
A wholesale customer pays a monthly invoice two weeks late, in the same deposit as a card batch. Matching each deposit line to its source keeps the open-invoice list accurate, so the late payment is visible instead of buried in a day of sales. This is an illustration of the method, not a customer case or a guarantee.
Bakeries & Coffee Shops bookkeeping — your questions
Do you work with my POS system?
We work from the reports and exports of the POS you use and reconcile them to deposits. The POS stays your system of record for sales.
Can you separate wholesale from retail revenue?
Yes. We set up separate revenue accounts and keep wholesale invoices on an open-invoice list.
Do you track food cost?
We categorize ingredient and packaging purchases. Inventory counts and ideal-cost reporting are available only if we agree on a count schedule and scope first.
How are tips handled?
Charged tips are separated from sales and reconciled to payroll. Tax reporting of tips is a question for your payroll provider and CPA.
Can you track wholesale separately?
Yes. Wholesale gets its own income line so you can compare its margin with counter sales.
We sell at a farmers market too. Can that be tracked separately?
Yes. A separate revenue account or class for market sales lets you compare it with the shop and with wholesale, in your own QuickBooks Online or Xero file.
